For events with special setup, please indicate on the Facility Use Request Form. A special setup includes any of the following items: moving or adding furniture, telephone or interactive video-conferencing, requesting additional computer or Audio Visual equipment or assistance; serving food; utilizing facility beyond normally scheduled operating hours, parking issues, etc.

To ensure the College can accommodate events with special setup requests, please submit your request at least 4 weeks prior to your event.

Frequently Asked Questions (FAQ):

Can College facilities be used for any kind of activity?

The College is not obligated to permit use of its facilities for any activity that may be contrary to College policy, pose safety concerns for participants, or conflict with the best interests of the College.

What events and programs have priority at the College?

Instructional-related programs, student activities, and other College-sponsored or College-related events have priority over non-College activities. Classes will not be relocated to accommodate requests for space.

What types of rooms and spaces are available for use?

Each campus offers a variety of spaces, including multi-purpose rooms, classrooms, computer labs, conference rooms, and outdoor areas. Availability varies by campus and space type.

Requestors are encouraged to visit the campus and consult with the campus event coordinator prior to completing a Facility Use Request (FUR) to help ensure event success. Appointments are recommended.

Why does the College charge rental fees for facility use? (See the 2025-2026 Facilities Use Fees or 2026-2027 Facilities Use Fees)

 State law requires that public entities, like colleges, receive “fair value” for the use of their facilities. The College charges outside organizations a “fair value rent” for the use of facilities, tables, chairs, and technology equipment. The College offers discounted rental rates for non-profit organizations.

Can food and/or alcohol be served at an event?

To meet the requirements of the College’s insurance carrier, food service must be provided by a professional caterer, local restaurant, or licensed food provider, such as grocery stores that prepare party trays or College owned and operated catering options, which are available on several campuses.

Possession or consumption of alcohol on College property is prohibited, except for special events that receive direct authorization from the College President and comply with all College procedures, as well as local and state regulations.

What is a Certificate of Insurance (COI), and what is required for proof of insurance?

A Certificate of Insurance (COI) is a one-page, standardized document that serves as proof of an organization’s active insurance coverage. All external organizations are required to submit a COI showing general liability coverage with minimum limits of $1,000,000 per occurrence.

The COI must list the College as additional insured and include the address of the campus hosting the event. Please contact your organization’s insurance agent for assistance in issuing a COI.

Information Tables

The College offers an option for any organization to host an information table in the commons area of one of our campuses. Tables include up to two six-foot rectangular tables and four chairs. Access to power is available in some areas. All College buildings have public wi-fi networks and the wi-fi password is posted throughout College buildings.

Tables for Mohave College departments, clubs, or organizations are offered at no cost. To assist students planning on transferring to a four-year institution, tables are offered at no cost for transfer colleges and universities.
