The planning process begins when a faculty member, staff member, or the Grants Specialist identifies a grant opportunity for a project that supports the College’s mission and strategic plan.

  1. Individual faculty or staff members need to submit a Grant Research Request Form to the Grants Office for assistance in researching and identifying grants that are viable for MCC and support current and/or proposed projects.  Click on the Request Form link to the right.
  2. The Grants Specialist may identify potential grants independently, work with a grant development team or work with individual faculty or staff members who identified a need for a particular project.
  3. Once the grant opportunity has been identified, the Grants Specialist will study the grant Request for Proposal (RFP) and will work with the project director or project development team to complete the Preliminary Grant Proposal Approval Form. Click on the link on the right.
  4. The Grants Specialist will send the Proposal Approval Form to the Vice Chancellor of Instruction and the Vice Chancellor for Administration for institutional approval.
  5. Once planning of the grant has been approved, the Grants Specialist will collaborate with and oversee the project director or project development team in developing the grant proposal.
  6. The Grants Specialist will work with the project director’s/project development team's recommendations concerning project staffing, project consultants, project subcontractors, and the project’s impact on or complement to programs.
  7. When the grant proposal is complete, the Grants Specialist will send the proposal to the College Chancellor for signatures.
  8. The Grants Specialist will be responsible for submitting the grant proposal to the funding agency. See Grant Planning Flow Chart and Responsibility Matrix at the right.

Post Award Management Procedures

  1. Once the grant has been approved by the funding agency, the Grants Specialist will work with the project director and Marketing/PIO to publicize the project and inform key personnel at the College.
  2. The fiscal Grants Analyst will set up project account numbers and will work with the project director to write project reports, review budget reports, and answer questions from the College faculty and staff about the project budget.
  3. The project director will forecast budget spending for multi-year grants and will recommend and make budget changes.
  4. The project director will insure that the project is completed on time, that reports are submitted to the funder on schedule, and that the project follows all rules and regulations per the funding agency. See Post Award Planning Flow Chart link at the right.
