Procedures to follow when hiring a student work study employee

 Prospective Student Work Study Employee's Responsibilities

  • Student must have been awarded federal or institutional work study by the financial aid office in order to qualify for student work study positions.
  • All student work study positions are posted online at: http://www.mohave.edu/workstudy.
  • A student who has been awarded federal or institutional work study must select a desired work site from this approved list.  
  • The prospective student employee should download a copy of the job description from http://www.mohave.edu/workstudy
  • The prospective student work study employee must contact the work site supervisor to set up an interview.
  • The prospective student work study employee should bring the completed Application for Student Employment with him/her to the interview.
  • If selected, the student work study employee should schedule an appointment with their campus financial aid advisor to complete a hiring packet. Two forms of ID will be needed. Check with your campus financial aid advisor on acceptable documentation. 
  • If selected, the student must complete the Student Employment Agreement and the Statement of Confidentiality for Work Study Employees with the supervisor.
The Supervisor's Responsibilities
  • Set up an interview time with the potential student work study employee convenient to both parties.
  • Prepare questions to be asked that are applicable to the duties of the position.
  • If appropriate, involve other office personnel in the interview process.
  • Interview the prospective student work study employee in a professional manner and in accordance with college policies.
  • Rate the prospective student work study employee based on selection criteria after the interview.
  • Notify the prospective student work study employee of the hiring decision, whether positive or negative, in the method determined previously in the interview.
  • After a student work study employee has been selected, complete the Student Employment Agreement online with them.
  • Print the Agreement, sign it, have the student sign it and ask them to hand carry it to their appointment with the campus financial aid advisor.
  • Complete the Statement of Confidentiality for Work Study Employees online with the new hire and have them bring it to their appointment with the campus financial aid advisor.
  • Request that the student work study employee visit their financial aid advisor to complete the new employee hire packet.

The Financial Aid Office's Responsibilities with Student

  • The selected student will schedule an appointment to complete a new hire packet.  Before the appointment is scheduled, a financial aid advisor will determine the student's eligibility for work study employment.
  • If eligible, schedule a convenient appointment for both parties.
  • Items to be covered during the appointment are: AZ State Tax Withholding, Federal Tax Witholding, Loyalty Oath/Statement of Registration Status, Checking/Savings Account Direct Deposit form, Anti-Discrimination/Anti-Harassment/Constructive Discharge Acknowledgement, Department of Labor Questionnaire (voluntary), Employment Eligibility Verification and Arizona State Retirement System Declaration form.
  • Review the guidelines for interacting with inmate labor.
  • Review the Student Employment Agreement and Work Study Statement of Confidentiality and Procedures.

The Financial Aid Office's Responsibilities after Meeting with Student

  • Notify the supervisor of the date the student can begin working.
  • Notify the supervisor of the maximum available weekly hours.
  • Notify the supervisor of the the payroll account number for the student employee's time sheet.

Student work study employees may not begin work until approved by Human Resources.
